4. Preparing your abstract
4.1 Word limit and structure
The abstract body must not exceed 300 words, excluding title, author names, affiliations and the required statement. Use Background, Methodology, Results and Conclusion. State the objective clearly, describe methodology concisely, present principal findings with relevant data and give a conclusion supported by the results.
4.2 Required statement
Place Conflict of Interest after the main text. Declare relevant conflicts or state that none exist.
4.3 Originality
Data must not have been published or presented elsewhere. The Scientific Committee may reject data published in a journal before the conference.
4.4 Use of artificial intelligence
- AI tools may assist writing or editing. AI use as a research tool must be described in the methods.
- AI-generated data or results are not allowed.
- AI must not be cited as a source.
- Authors remain fully accountable for accuracy, originality and integrity.
Upload a PDF up to 5 MB, matching the online text and including the conflict statement after the main text. The existing portal supports six authors including the presenting author; do not include graphs or references in the PDF.
5. Abstract submission procedure
- Pre-register for the conference, then create your abstract portal account.
- Log in with your registered credentials.
- Complete the form, select a category, enter author and affiliation details and upload the abstract.
- Review and confirm all information, submit and retain your confirmation.
Abstracts sent by email or any channel other than the designated portal will not be considered. The submitting author is the primary contact for all abstract correspondence. Review results and presentation mode are communicated to the presenting author.
6. Review process
Every abstract is peer-reviewed by the Scientific Committee, with at least three reviewers per abstract. Results are sent to the presenting author.
| Criterion | What reviewers look for |
|---|---|
| Significance | Clear value for virology, clinical practice or patient care |
| Clear objectives | Clearly stated aims (PICOTS: population, intervention, comparison, outcome, time, setting) |
| Originality and novelty | Original work with new ideas |
| Relevance | Fits the conference theme |
| Clear presentation | Well written and follows the required format |
7. Presentation obligations
Submission commits the presenting author to present in person, unchanged in scientific content, in the allotted slot. The Review Committee decides Oral or E-Poster presentation and informs the presenting author.
Inform the Scientific Committee of withdrawal by the withdrawal deadline. Obtain prior committee permission for a presenter change by the same deadline. The substitute must register offline and email the Scientific Committee.
